What a US invoice should show
- The word "Invoice" and a unique invoice number
- Your business or contractor name, address and contact details
- Your EIN or TIN, if your client needs it to file a 1099
- The invoice date and the payment due date
- A description of what you sold, including quantity and price
- Sales tax, only if your state requires you to collect it
- Your client’s name and billing address
- The payment methods you accept, and any reference to quote
Unlike an Australian tax invoice, a US invoice is not laid out to one national standard, and sales tax rules vary by state. Check your state revenue department’s guidance or ask your accountant.
Common questions
- Do I need to charge sales tax on my invoices?
- It depends on your state and whether you have nexus there. Most states tax tangible goods, and some tax certain services. If you are not registered to collect sales tax, do not add a sales tax line.
- Do US invoices need a tax ID or EIN?
- No. There is no federal requirement to print a tax ID on an invoice. Larger clients often ask for your EIN or a W-9 before they pay, so it helps to have those details ready.
- What payment terms should I put on a US invoice?
- Net 30 is the most common. State the terms clearly next to the due date, and list the payment methods you accept so there is no back and forth.
